Who we are

The data controller for the personal data described in this policy is Jordan Woods Group Limited, a company registered in England and Wales, which operates this website under the trading name changemyprinters.co.uk. Our registered company number and registered office are set out in full in our terms of use.

What personal data we collect

We only collect what the enquiry form on our website captures. Specifically:

  • Contact details you give us: company name, your name, business email address, phone number and postcode.
  • Anything you write in the free-text box. Please don't put anything sensitive in there — it isn't the right place for it.
  • The answers you gave the cost widget: your lease payment and how often you pay it, your per-copy rates if you entered them, your approximate monthly print volume, and when your contract ends. These are submitted alongside your contact details so we can answer your enquiry properly.
  • Your consent record: the fact that you ticked the consent box, and the date and time your enquiry was received.

If you use the cost widget but don't submit an enquiry, nothing is sent to us at all. That calculation happens entirely in your own browser.

We do not collect special category data, we do not knowingly collect data about children, and we do not buy personal data from third parties.

Our lawful basis for using it

Under the UK GDPR we rely on two lawful bases:

  • Consent (Article 6(1)(a)) for contacting you about your enquiry. This is the box you tick before submitting the form. You can withdraw it at any time by emailing us, and withdrawing it is as easy as giving it.
  • Legitimate interests (Article 6(1)(f)) for the ordinary running of the business — responding to correspondence, keeping records of enquiries we've handled, and protecting the website from spam and abuse. We've considered your interests and rights, and we think you'd reasonably expect us to do these things when you contact us.

What we use it for

We use your data to:

  • reply to your enquiry and answer your questions;
  • research what a comparable contract would cost, if you've asked us to;
  • where you've asked us to, introduce you to a supplier — we will always tell you before we pass your details to anyone, and we will not do it without your say-so;
  • keep a record of the enquiry and our response.

We will not add you to a marketing list, sell your details, or share them with a panel of suppliers who then all contact you.

Who processes your data on our behalf

We use a small number of service providers (“processors”) to run the site and our email. Each is bound by a contract to process your data only on our instructions.

Netlify Hosts this website and runs the small server function that receives the enquiry form. Netlify's servers process the request, including your IP address, in order to serve the site and limit abuse. Global content delivery network; may include transfers outside the UK.
Resend Delivers the enquiry to our inbox as an email. The content of your enquiry passes through their systems in order to be sent. United States.
Zoho Mail Hosts the hello@changemyprinters.co.uk mailbox where your enquiry arrives and where our correspondence with you is stored. European Union data centres.

We also load a web font from Google Fonts. Serving that file means your browser connects to Google's servers, which discloses your IP address to them.

How long we keep it

We keep enquiry data for [RETENTION PERIOD — TODO, e.g. 24 months] from your last contact with us, after which it is deleted. Where we have a legal obligation to keep records for longer — for example, tax records where a transaction took place — we keep only what that obligation requires, for as long as it requires.

If you ask us to delete your data sooner, we will, unless we have a legal reason not to. We'll tell you if that's the case.

Cookies and local storage

This site does not set any optional cookies. We run no analytics, no advertising pixels and no third-party tracking scripts.

The only thing we store on your device is your answer to the cookie banner — whether you pressed Accept or Reject. It is kept in your browser's localStorage under the key cmp-consent, it never leaves your device, and it exists purely so we don't have to ask you again on every page. You can clear it at any time through your browser's “clear site data” settings.

Because no optional cookies are set, choosing Reject changes nothing about how the site behaves today. The banner is there so the choice is already recorded if that ever changes.

If we add analytics later

If we ever add analytics or advertising tools, we will update this policy to name them and describe what they store, and those scripts will only load for visitors who have pressed Accept. We will not switch them on retrospectively for people who already chose Reject.

Security

The site is served over HTTPS. Enquiry data is transmitted to our email provider over an encrypted connection, and access to our mailbox is restricted to the people who need it. No system is perfect, but we take reasonable technical and organisational measures appropriate to the small amount of data we hold.

Your rights

Under the UK GDPR you have the right to:

  • be told what personal data we hold about you, and get a copy of it;
  • have inaccurate data corrected;
  • have your data erased;
  • restrict or object to how we use it;
  • data portability, where it applies;
  • withdraw consent at any time, without that affecting anything we did lawfully beforehand.

Complaints

If you're unhappy with how we've handled your data, please tell us first — we'd like the chance to put it right. You also have the right to complain to the UK's data protection regulator:

Changes to this policy

If we change this policy we'll update the “last updated” date at the top. If the change is significant — for example, adding a new processor or a new purpose — we'll make that clear rather than burying it.
